Printing more information in Outlook’s month view

OUTLOOK Q&A

By Joe Dolittle

OutlookPower reader Christine wants to know about calendar printing. She asks:

How do I print a monthly Outlook calendar so that all the data is seen in each day of the month?

Christine uses Outlook 2007, and, unfortunately, there are only a few crude tricks you can use to get more of your calendar entries printed for the full month.

Based on her question, we're assuming she's trying to print the full month view. Obviously, to get more information, you could print the day view or the week view and more would fit on the page.

Outlook's month view isn't smart enough to resize to fit the required information. While you could lower your font size, you can also increase (slightly) the size of the box for each day. The dialog box you want is the Page Setup dialog for the monthly view, as shown in Figure A.

There are really only two things you can do to increase the size. You can split the month layout over two pages, and you can only print weekdays. As Figure B shows, turning those options on gives you more space for your appointment information:

It's pretty disappointing that here we are, with Outlook 2007, and there's no smart wrapping for printing out month-view calendars. But that's Outlook.
